Long Service FAQs

Do you have questions about Island Health's Long Service Recognition program? Please read this section.

General Questions

Who is being recognized?

The program recognizes employees, volunteers and auxiliary members who:

  • Between January 1 and December 31 of the current calendar year, reached a milestone of 10 years.
  • Those who retired with 15 or more years of service after October 31st of the current calendar year.
  • Those that reached a milestone of 15, 20, 25, 30, 35, 40, 45 and 50 years between January 1 and December 31 of the previous calendar year.

How are recipients recognized?

10 years of service will receive a thank you card and pin from their department manager.

15, 20, 25, 30, 35, 40, 45 and 50 years of service will receive an invitation to attend one of multiple island wide recognition events, as well a pin, and a gift of the recipient’s choice selected from their milestone year gift catalogue.

15 or more years of service upon retirement will receive a gift of their choice selected from the retirement gift catalogue.

** Please note: Employees who retire during a milestone year will also receive the gift offering and pin associated with the achievement of the milestone (as described above).

What milestone years are being recognized at the February and March 2019 events?

Recipients being recognized at this set of events reached their milestone year of service in 2017.  We are celebrating those that began working with Island Health in the following years:

1967 – 50 Years

1972 – 45 Years

1977 – 40 Years

1982 – 35 Years

1987 – 30 Years

1992 – 25 Years

1997 – 20 Years

2002 – 15 Years

I’d like to help out at the long service events as a volunteer. Who do I contact to sign up?

Volunteers are always appreciated. We can always use help welcoming recipients and their guests at the registration table to help hand out name tags. All volunteers get a seat at the event and enjoy a free buffet lunch or dinner!

Long Service Award Recipients: RSVP Questions

Can I attend any of the events?

No, recipients attend an event closest to their worksite. Recipients are responsible for any costs associated with travel and/or accommodations.

Can I bring a guest?

Yes, recipients can bring one (1) guest. You will be prompted to confirm this during the RSVP and check-out process on the long service & retirement recognition website. Be sure to find out about any food allergies for your guest.

Why can’t I see a registration list of who is attending?

We are unable to publish a registration list showing who has registered for a long service event due to privacy. We recommend chatting with your manager to see if others in your work unit have been invited so that your team can coordinate celebrating together at the same event.

Can I RSVP to an event without placing my gift order?

No, in order to RSVP to an event you will need to complete the gift order section of the website. However, there is an option to decline a gift. You will then be prompted to select which event you would like to attend during the check-out process.

What is the RSVP process if I wish NOT to attend?

If you decide NOT to attend, follow the order process and select the “Will not attend” button.

Please make sure to place your gift order before the deadline. Your gift and pin will be shipped to the address you enter during the checkout process.

Do I have to write a Memorable Moment?

No. The Memorable Moment section is optional.

Can I send my Memorable Moment later?

Yes, absolutely. Please write a story, meaningful moment or connection that you’ve experienced at Island Health (200 words max) and send to LongService@viha.ca no later than January 14, 2019.

Me or my guest have food allergies. Who do we send our food allergy information to?

When you complete the RSVP process on the registration website, there will be a section that will ask for both yours and your guest’s allergy information. If you have any concerns, please email the Recognition and Retention Team at LongService@viha.ca.

Long Service Award Recipients: Event Questions

I’m worried my name will not be pronounced correctly during the Long Service Recognition event ceremony. How can I ensure it will be read out loud correctly?

You can provide a phonetic example of how you would like your name read out loud to LongService@viha.ca.

Will there be free parking at the event?

Unless otherwise posted, most of the Long Service and Recognition event venues offer free parking to those attending the events. We recommend carpooling when possible, as there may be limited spots.

Will our photos be taken during the ceremony?

In previous years, the award recipients were photographed at the front of the room when accepting their award. Photos are now optional. Recipients now have the option to be professionally photographed at an Island Health photo booth set up at each event venue. Recipients are also welcome to take their own photos, as well as try on some fun photo booth props with their guest or colleagues! Check out last year’s photos here.

How do I qualify for a Long Service Gift?

Long Service gifts are presented to Island Health employees, volunteers and auxiliary members on each 5 year anniversary, starting at 15 years of service.

How do I place my Long Service gift order?

  • Under the Gifts tab, click on your celebrating level to view the gift selection
  • When you have made your choice, click Select.
  • Follow the prompts until you click Place Your Order.
  • If you are celebrating a Long Service as well as a Retirement milestone, please remember to choose two gifts; one from your celebrating Long Service level (or any level below) AND one from the Retirement level. Note, you will only be prompted to RSVP and select your event with the first gift order

Where will my gift(s) be delivered?

Your gift(s) will be shipped directly to your home. You will be presented with your award pin at one of the annual Long Service & Retirement Recognition events. When you place your gift(s) order, you will be prompted to RSVP to an event.

What is the deadline for gift ordering?

What happens if I do not place my gift order before the required date?

We encourage all recipients to try and complete their gift order before the deadline. Due to fiscal timelines we may be unable to extend the deadline. If you have missed the gift ordering deadline, please contact IslandHealth@ServiceAwards.com or call 1-877-336-9605 to speak to a customer service representative.

Is it possible to track the delivery of my gift order?

Yes. If you would like to monitor your order, click on Resources – Track Your Orders. A Canada Post tracking number will be provided, which you can use to track the shipment of your order.

There is a problem with my gift, what should I do?

Please contact a customer service representative at IslandHealth@ServiceAwards.com or call 1-877-336-9605 on weekdays: 5 a.m. - 6 p.m. PST, or Saturdays: 5 a.m. - 2 p.m. PST. Information on how to obtain a Returned Material Authorization Number (RMA) for your return is available under Return Instructions listed under Resource.

Can I purchase a gift from the program?

No, the gifts are reserved solely for Long Service Recognition and Retirement recipients. Gifts cannot be purchased.

Leader Questions

I’m a manager of a long service award recipient. Can I attend as a guest?

If you wish to attend an event as a guest, please note that space is very limited. We reserve the majority of seats for the award recipients and their guests. Manager attendance is only available on a first come, first serve basis. Please contact the Recognition and Retention team early if possible, but please be aware that seats may be filled – LongService@viha.ca.

I’m a manager - can I bring a guest to the event?

No. The events have become exceedingly popular in recent years and we reserve the limited seating space for award recipients and their guests. If you are unable to attend, you can provide us with the name of a supervisor or coordinator that can attend in your place and their name will be added to a waiting list. If there is room available, we will invite them to attend.

How else can I attend or get involved?

Leaders can get involved in other ways, such as volunteering to be a reader – someone to read out the award recipient’s “memorable moments” during the events – or a greeter to welcome recipients and their guests at the registration table. If you are interested in filling a role, please contact the Recognition and Retention team at LongService@viha.ca. All volunteers get a free buffet meal!

Can I write a thank-you note to my employee to recognize their long service milestone?

Yes, absolutely! Please write a short message of recognition (no more than 200 words) and email it to LongService@viha.ca. Please send us your note by January 14, 2019. We need to collect these in order to add them to the reader’s notes well ahead of the event date.

Will I be expected to speak during the presentations?

No. Leaders attending the long service recognition events are not asked to speak during the presentations. Keep in mind that the recipient’s “memorable moments” collected prior to the events or the thank-you notes from managers will be read by the event readers.

Can I celebrate my employee’s long service achievement locally with their work team?

Absolutely! Some award recipients reach an incredible milestone and we encourage teams to consider holding additional celebrations for their accomplishments on the local level, such as a potluck lunch. Doing so also allows more of their colleagues to participate in their recognition, including their immediate supervisor or colleagues from other departments.
